Member answers to: Has anyone set a rate for staff driving electric cars to reclaim business miles?

Last week, a REBA member from a large UK company explained that her company plans to introduce electric charge points at some of their sites and so she needs to come up with a rate to reclaim for those people doing business travel in an electric car.

She pointed out that there is no HMRC agreed rate. So she wanted like to know what other employers do.

Other REBA members stepped up to help her. Although most declared they currently have the same problem she does, so also want to know the answers.

The three most helpful answers to be submitted are:

Answer 1:
We have installed charging points which are free to use, with access being controlled via a card system. The period of uncharged availability has been time limited, so that once the HMRC policy on reclaims is published we have the flexibility to introduce a charge or other cost recovery which can be expensed as appropriate.

Answer 2:
We don't have pure electric, we have hybrids and have an elec charging point at one of our sites. Mileage is claimed at the petrol rate per the HMRC guidance. I think it is unlikely we would have any pure electric cars on the fleet any time soon but would be interested to hear how employers are treating these for business mileage reimbursement.

Answer 3:
If the employer has recharge points at all sites we (Fleet Evolution) would recommend no recharge rate. The company or car supplier can supply a charge card from companies such as electricity or chargemaster. With electricity the car can be recharged on motorways for nothing and many other charge points are free so as long as the employee has the opportunity to recharge at work they will never incur a cost unless they choose not to do this. For sites with no charge point or home-based staff we suggest 3ppm based upon a £3 charge delivering 100 miles. Of course again the employee can be more proactive by recharging on cheaper tariffs so they will never be out of pocket.
