Access Times, Deliveries & Collections
The venue is accessible at the following times:
- Exhibitor Access for Set-up: from 07:15
- Live Event Times: 08:00 – 18:00
- Breakdown: 18:00* – 18:30
*Breakdown will commence once the venue is clear of all delegates. You must be clear of your stands by 18:30 on Thursday 20 November.
EXHIBITORS ARE REMINDED THAT THERE IS NO ACCESS BACK INTO THE VENUE AFTER 18:30 ON THURSDAY 20 NOVEMBER. EVERYTHING MUST BE TAKEN WITH YOU OR COLLECTED BEFORE 18:30 ON THURSDAY 20 NOVEMBER. ANY ITEMS LEFT THAT ARE NOT CLEARLY LABELLED & SCHEDULED WITH THE VENUE FOR COLLECTION BY A COURIER THE FOLLOWING DAY WILL BE DEEMED AS RUBBISH AND YOU MAY BE CHARGED.
Deliveries
- Deliveries of small items to the venue are only permitted through the Loading Bay, 2 working days prior to the event*
- Deliveries will only be accepted between 09:00 – 17:00 (Monday – Friday)*
- All deliveries must be clearly labelled using the venue’s Delivery Label
- Before sending off your packages with your courier, each delivery will need to be scheduled in with the venue by emailing their HOPs, Dorota Jedrzejewska. Please schedule these in at least one week prior to the delivery of the items.
- Due to Health & Safety regulations, delivering goods to stands during the opening hours of the event is not permitted

Step-by-Step Delivery Guide:
- Label your items using the venue’s Delivery Label.
Information you will need to complete the label:
- Convene Event Manager: Dorota Jedrzejewska
- Name of Event: REBA Future Forum 2025
- Date of Event: Thursday 20 November 2025
- Book your courier, ensuring that they will arrive at the venue’s loading bay within the timeframe indicated above
- Schedule the delivery with the venue at least 1 week prior to the date the delivery will arrive by emailing Dorota Jedrzejewska with the following information:
- Name of the courier company
- The driver’s name (if you have it)
- Driver’s contact number
- Type of vehicle (i.e. van or larger vehicle, inc. the size and length)
- Whether the vehicle is over 3.5 tonnes
- Brief general description of items being delivered (i.e. exhibitor booklets or
- merchandise)
- Quantity of pallets or boxes being delivered
- Time and date the delivery will arrive
This also applies to company-owned vehicles. Please factor in a 30-minute slot for Luton vans, 45 minutes for 7.5t vehicles and 60 minutes for 18t vehicles.
There are no parking facilities available at the venue or loading bay.
Collections
- Sponsors must pre-arrange their own courier to collect their leftover items from the loading bay the day after the event, between 10:00 and 17:00
- All couriers for collection must be scheduled via Dorota Jedrzejewska prior to stand representatives leaving at the end of the event
- Please complete the venue Collection Label before the event, and bring printed copies with you, along with some tape to affix labels
- All items must be packaged up securely, with the venue’s Collection Label completed and attached, and left by your stand before your representatives leave the event
- Items that are not collected will be disposed of at a charge to the exhibitor

Notices
Whilst reasonable efforts are made to ensure safety and security of the equipment and deliveries when in storage and whilst being moved around the venue, Convene (the venue) nor the organisers accept any liability for any theft or loss of or damage to your and/or any visitors’ property. This includes during set up/de-rig and on event day.
Traffic wardens patrol the area and the venue are unable to offer any assistance in case of any parking violations or tickets.
Neither Convene (the venue) nor REBA (the organisers) will be liable for any waiting charges incurred while delivering or collecting.
Neither Convene (the venue) nor REBA (the organisers) is responsible for scheduling any couriers or for any items left at the venue.
